Career Services Office Office Policies
General
- Job listings received are available for review by all interested Geneseo students or alumni.
- Requests by employers for selective referrals of candidates will not be honored.
- Positions received from third party sources (Employment Agencies, etc.) will be posted with a statement that disclaims any endorsement of that organization by the Career Services Office.
- Career Services will not cooperate with any employer known to discriminate in hiring practices.
- Students/alumni from other colleges may request assistance from SUNY Geneseo’s Career Services Office. Access to the career resource area and job postings is provided. The availability of individual counseling appointments will be determined on a case-by-case basis. Participation in on-campus recruiting and credentials service is not allowed.
- SUNY Geneseo CSO will not provide services to employers who offer employment contingent on an initial payment or investment. This policy includes any organization serving as an umbrella or parent corporation. This may include, but is not limited to: direct payment of a fixed fee; payment to attend pre-employment orientation or training sessions; and/or purchase or rent of a starter kit, sales kit, samples, or presentation supplies.
Placement Files (credentials)
- Available to full time or part time students and alumni at SUNY Geneseo.
- Placement files stored in the Career Services Office will be maintained for a minimum of twenty years. Files which have had no activity over a 20 year period are destroyed. "Activity" is defined as adding new letters of recommendation, unofficial transcripts, updating job history or having the file sent to prospective employers/graduate school committees.
- Mailing of placement files is a fee based activity. Fees are reviewed periodically.
- The placement file consists of up to eight letters of recommendation and an unofficial copy of the Geneseo transcript(s) obtained from the Records Office (not KnightWeb). A resume my be included, but is optional. The transcript is also optional but most graduates choose to submit a copy for the placement file. It is permissible to have unofficial transcripts from other colleges or universities attended included in the file.
- The placement file is a college record and will be placed on “hold” when the Career Services Office is notified that a student has outstanding financial obligations to the College.
- Registrants have full access to any personal material they submit for inclusion in the placement file. All information, including letters of recommendation, will be maintained in the Career Services Office under the auspices of the Director of Career Services.
- Confidential letters of recommendation will not be shown to or discussed with the registrant.
Distribution of Placement files
- The placement file is intended to be used exclusively by prospective employers, graduate/professional schools, and scholarship committees. Other situations will be decided by the Director of Career Services or his/her Assistant Director.
- When the contents of the file are mailed, copies are sent, not the original. Unless otherwise requested, the entire contents of the placement file are sent with each request.
- Graduate/Professional schools requesting applicants mail all materials (including confidential letters from the placement file) in a single envelope will be honored. Any confidential information from this office will be stamped CONFIDENTIAL across the seal. See CSO staff for assistance.
- The practice of individuals hand-carrying a copy of their confidential credentials to a prospective employer is strongly discouraged. Where immediate deadlines are involved, faxing should be considered.
- Overnight mail services are available in emergency situations only; the additional cost will be incurred by the registrant.
- Generally, credentials requests must be made in writing via postal service (regular mail) or fax. E-mail requests WILL NOT be accepted as security of information is not guaranteed.
Letters of Recommendation
- Letters received by this office not marked or labeled confidential are assumed to be “open” to the candidate.
- The “opening” of placement recommendations began January 1, 1975. The policy, however, is not retroactive; according to the Family Educational Rights and Privacy Act, confidential recommendations written before 11/75 are not to be disclosed to the registrant.
- It is the registrant’s responsibilities to let the author of the recommendation know whether the letter is to be open or confidential.
- A registrant may remove a letter of recommendation at any time. Once the request is made in writing to the Director of Career Services, the letter will be destroyed.
- A reference person may withdraw a letter of recommendation by contacting the Director of Career Services in writing. Should the reference be withdrawn, the registrant will be notified by the Career Services Office and the document returned to the author.
- In a “need to know” situation where a college administrator or faculty member is assisting the registrant solve a problem, the placement file will not be released to any individual without the registrant’s permission.
On Campus Recruitment
- Employers may use campus facilities to recruit if they agree to the practice of nondiscrimination consistent with federal and state nondiscrimination and Equal Opportunity laws, orders, and regulations and will not discriminate against any person because of race, sex, color, creed, age, national origin, disability, marital status, sexual orientation, or status as a disabled veteran or veteran of the Vietnam era.
- No employer may schedule more than two visits per semester.
- Advance notice of at least one month is required to schedule a campus recruitment date. Special requests will be reviewed and decided upon by the Assistant Director.
- Commercial employment agencies may not interview candidates on campus
- Recruitment interviews are limited to current Geneseo seniors. Alumni may be included on a space available basis.
- Candidates failing to show up for campus interviews may be denied access to future interviews. Advanced notice of cancellation prior to interview date must be given in order to remain in good standing within the on-campus recruiting program.
