Geneseo Pep Band Constitution

We, the members of Pep Band at SUNY Geneseo, in order to establish and maintain an effective Pep Band through music, cheers, and positive support of the Geneseo Ice Knights, do ordain and establish the constitution for this organization.

 

Article I

 

The Legislative Branch

 

SECTION I. All duties and responsibilities contained within this document are intended to be performed by the group known as Pep Band.

 

SECTION II. Meetings.  Weekly meetings are highly encouraged. These may either be during the week or some time before the game on a Friday or Saturday evening. Meetings will include any business and events the band has, and practice of the music.

SECTION III. Duties of the Pep Band. Pep Band was created to facilitate a positive energy during hockey games. It is our job to promote support for the Ice Knights. It is not our job to harass or belittle the opposing team. While we understand that attending every game is not possible for most people, we require that adequate notice be given if a DRUMMER cannot attend a game.

SECTION IV. Failure to Perform Duties. Members who cannot attend a game will not be penalized for doing so. Anyone who is focusing negatively on the game or using excessive profanities may be spoken to by the President. Failure to adhere to our policies, in extreme cases, would lead to an expulsion from the band. 

Article II

The Executive Board

The mandatory Executive Board positions for the Geneseo Pep Band include: President, Vice-President/Event Coordinator, Secretary/Broomball Coordinator, and Treasurer. Other positions may be filled and/or created, but are not mandatory. Vice-President/Event Coordinator and Secretary/Broomball Coordinator can be split up positions at any time, at the discretion of the E-board and members of the Pep Band. Other powers, duties, and responsibilities can be created or mandated at the discretion of the members of Pep Band. It will be the responsibility of the Pep Band to uphold the powers, duties, and responsibilities of any additional positions.

 

SECTION I. Term Length. Terms will last from the beginning of the Fall Semester and last through the end of the following Spring Semester. If a leave of absence is taken by an E-board member, an emergency election will be held at the next convenient time.

SECTION II. Pep Band President’s Powers and Duties.

         The Pep Band President will:

 

(a) Conduct the band at all Hockey Games.

(b) Coordinate and ensure that all paperwork, meetings, and requirements are met to continue to be a recognized student organization on campus.

(c) Work closely with the advisor, Kris Heeres, and the Athletic Department to ensure that the needs and wishes of the athletes and administration are being met.

(d) Send out game reminders prior to a home hockey game.

SECTION III. Pep Band Vice-President/Event Coordinator’s Powers and Duties.

         The Vice-President and Event Coordinator shall:

(a) Coordinate any of the events or requirements to continue to be a recognized student organization on the President’s behalf if the President cannot attend.

(b) Conduct the band in the absence of the President. If the Vice-President is not comfortable conducting, they must find an adequate replacement.

(c) Work with the college and the band to facilitate any buses to away games. This may include work with Residence Life, Upstate Escapes, and Transportation Services.

SECTION IV. Secretary/Broomball Coordinator’s Powers and Duties.

The Secretary and Broomball Coordinator shall:

 

(a) Send out any necessary reminder e-mails for the band.

(b) Keep meeting minutes (if necessary).

(c) Sign up the band for Broomball in both the Fall and Spring Semester, and serve as team captain, attending all captain’s meetings.

(d) Send out Broomball recap e-mails.

(e) Facilitate elections.

SECTION V. Treasurer’s Powers and Duties.

The Treasurer shall:

 

(a) Coordinate new member dues and ensure that they are paid in a timely manner.

(b) Facilitate Tie-Dye Orders in the Fall Semester.

(c) Maintain Pep Band’s funds, and hand out reimbursement checks when necessary.

(d) Ensure any orders for new instruments or equipment are handled.

SECTION VI. E-Board’s General Responsibilities.

         The Executive Board, as a whole, shall:

 

(a) Facilitate the transition for new members to the Pep Band. This may include:

         (i). Attending the Club and Organization Fair.

         (ii). Holding a general interest meeting for new members.

(iii). Holding regular practices to continue learning the music.

(iv). Ensuring that new members feel welcome and understand their expectations as a part of Pep Band.

(b) Create the Hockey Banner for the Ice Rink yearly. This may be done as an e-board or with members of the band.

(c) Foster community among members through such actions as:

         (i). An end of the year party

(ii). Attending and encouraging others to attend broomball games.

(iii). Transparency between e-board and members

(iv). Asking members about any policy changes they would like to enact or any events they would like to plan.

Article III

Elections

SECTION I. Announcement of Candidacy. Candidates will e-mail the secretary in response to an intent to run e-mail.

SECTION II. Time of Election. Elections will be held at the last regular season Home Hockey Game of the spring semester. Any members who have an excused absence may be able to vote electronically.

SECTION III. Campaign Practices. Candidates will be given the opportunity to give a brief speech just prior to voting.

SECTION IV. Election Ballots and Voting. Elections will be done by paper ballot. The Secretary will count and re-count the votes and announce the winners later that evening.

SECTION V. Tie. In the event of a tie, a revote will be held between the two candidates who were tied. If a decision cannot be met, the two tied candidates can either share the position or one can step down from the election.

SECTION VI. Transitional Meeting. A yearly transition meeting will be held in order for the new e-board members to receive adequate training in their responsibilities and duties for the following academic year. The timing of this meeting will be held at the discretion of the two e-boards.
