Prior Approvals Requirement for Proposal Submission
Applicants must work with the Office of Sponsored Research (OSR) on development of proposals to external funding agencies (this include proposals to SUNY). Applicants should notify OSR as soon as possible if they are considering a proposal submission and must provide required proposal documents to OSR at least 14 days prior to the deadline. Institutional approvals are required before a proposal may be submitted and OSR endeavors to circulate proposals for approvals approximately 10 days prior to the deadline.
For individual fellowship applications involving leaves of absence, our policy is that these proposals should also be circulated for approvals in order for faculty to receive full consideration for requests for institutional support coincident with fellowship award leaves of absence.
Any campus match or cost sharing included in a proposal will be agreed to by relevant parties before final institutional approvals are sought. The amounts and sources of campus match or cost sharing will be included in the “Proposal at a Glance” document and on the Externally Funded Projects Approval Form, which are included in all proposal packages circulated for institutional approvals.
Institutional approval signatures are collected using Adobe Sign. When OSR sends out proposals for campus approvals, the signature of the Director of Sponsored Research (or the Proposal Developer in the Director’s absence) will be the first signature on the Externally Funded Projects Approval Form. The remaining signature order is:
- Principal Investigator(PI)/Project Director(PD)
- Co-PI(s)/PD(s)
- Chair(s)
- Dean(s)
- Associate Provost for Finance and Operations
- Provost and Vice President for Academic Affairs
- Vice President for Finance and Administration
- President
- The certified recipient is the Director of Sponsored Programs Operations in the Sponsored Programs Administration Office.
